If you are working on a tight schedule which involves scheduling meetings, sharing mails, etc, then Microsoft Outlook 2016 is the best platform to manage your work schedule. Basically, Microsoft Outlook is a personal information manager launched by Microsoft along with its suites. It helps users to manage their work and information such as mails, in a systematic manner.
Now, suppose you have got a Gmail account via which you usually share email with clients. If you want the access the email through Outlook then you have to sync or configure your Gmail account with Outlook in order to receive all your mails on the outlook platform from where you can forward it later on.

- This problem generally occurs when some default settings in Gmail is disabled. So, whenever Outlook user will try to configure a Gmail account, it will result in various sync errors. Therefore, in this article, we are going to provide a step-by-step guide that will help the users to add Gmail account to Outlook 2019, 2016 and in below versions.
Keep reading to know how to set up the configuration process.
#1.Enable IMAP Protocol Access in Gmail
This is a pre-requisite step before starting with the configuration procedure of Outlook 2016. Here we are specifically using Microsoft Windows operating system on the PC to accomplish the job.
Step 1. Oepn your Gmail account using any Web browser, say for example, Google Chrome.
Step 2. Click on “Settings” gear and choose “Settings” option from the sub-menu.
Step 3. Click on “Forwarding and POP/IMAP” button from the page that follows.
Step 4. Now; click “Enable IMAP” and then go to the bottom of the page and click “Save Changes”.
Step 5.Once you are done with this much, you can now sign-out of your Gmail Account as you have already enabled the IMAP protocol access in your Gmail account.

#2.Configure Microsoft Outlook 2016 to share Mails
Once you have enabled IMAP protocol in Gmail, you can now configure the Outlook 2016 accordingly. So basically here in this section, we would describe you the steps to set up the outlook platform such that it can directly receive all the mails of your Gmail account, and you can send them to other email IDs just like you do on your Gmail account.
Step 1. Click on the “File Ribbon” and then “Info” tab.
Step 2. Select “Account Settings” option and then from the drop down menu, click “Account Settings…..” button.
Step 3. A new panel of Account Settings would appear.
Step 4. From the Account Settings panel, click “New”.
Step 5. Select “Manual Setup or additional Server types” and click on “Next”.
Step 6. From the next panel, choose “POP or IMAP” check box, and click “Next”.
Step 7. In the following page, input your account details and click “More Settings…”.
Step 8.Now; go to the “Outgoing Server” and select the “My Outgoing Server (SMTP) required authentication” from the check-box.
Step 9.Switch to the “Advanced” tab, and provide all the port’s details for incoming and outgoing servers and then click “Ok”.
Step 10.Return back to the Add Account page, and click “Next”.
Step 11.You can click the “Close” button, to skip the “Test Account Settings” dialog box.
Step 12.Finally click “Finish’ button to close the Add Account dialog box.
Step 13.Next, you have to click “Close” to close the Account Settings dialog box.
After you have completed all the mentioned steps, you can now see your Gmail account connected and start to receive your mails from the server.
#3.Configure Outlook on Your Mac
Here in this section, we would discuss about how to set up your Outlook for Mac. Read below to know the steps in details.
Step 1.Sign-in to your Gmail Account, and from the “Google Apps” button in the upper right corner, go to “My Account”.
Step 2.Enable IMAP/POP protocol in the same way as it was mentioned above.
Step 3.If you open your Outlook 2016 for the first time, it will be needed to enter your email address.
Step 4.Input your email address and password for the account you choose.
Step 5.Go through all the prompts to complete the email account setup.
Step 6.After the setup is complete; you will be notified with a confirmation. Select “Add another Account” if you want to add an additional account to the Outlook or simply click on “Done” if you wish to keep only one account configured to your Outlook.

- Open your Account Settings dialog;
- File-> section Info-> button Account Settings-> Account Settings…-> tab E-mail
- Double click on your Gmail IMAP account to open the account settings.
- When using Outlook 2010, 2013 or 2016 (MSI), you’ll need to perform the following additional actions;

Getting your Labels back in Outlook
Since you are now using [Gmail]
as the mailbox root folder and Labels are created on a higher level, you won’t be able to see your Gmail Label folders in Outlook.
A way around this is to prefix each of your Labels with [Gmail]/
. So a label called My Label 1
should be renamed to [Gmail]/My Label 1
via the Gmail web interface.
Instead of prefixing your Labels, you can also create a Label called [Gmail]
and configure My Label 1
as a nested Label of the [Gmail]
Label.

Any changes you make to the names and the structure of your folders via the Gmail web interface may not be visible in Outlook until you restart Outlook.
Grouping your Labels together
As you are now working of the [Gmail] root folder in Outlook, you’ll see all your Labels directly under your main mailbox. This might end up being a long list and make the Gmail “system folders” harder to recognize (now you know why they grouped them under a [Gmail] folder ).
To solve this, create another Label under the [Gmail]
Label in the web interface and call it for instance “Labels”. Now you can make all your own Labels a nested Label of the Labels
folder.

Creating subfolders in Outlook and Labels in Gmail
Gmail itself doesn’t really use/understand the concept of subfolders; everything is a Label. If you were to create a subfolder under the Inbox folder, you’ll actually be creating the Label INBOX/My subfolder
in the web interface of Gmail.
Once the mailbox is rooted to the [Gmail] folder, and since the Inbox folder lives outside it, unfortunately it is not possible anymore to create or access subfolders directly under the Inbox folder as you would be able to if it wasn’t rooted. Trying to create a subfolder for the Inbox folder will then result in the following error;

To work around this, you can create a new label via the Gmail web interface called;[Gmail]/Inbox/My subfolder

will show up in Outlook as a subfolder of the Inbox folder even when the mailbox is rooted to [Gmail].

Note:
This is only required for any folder which should be a direct subfolder of the Inbox folder. Any subsequent subfolders can be directly created in Outlook without errors.
However, in the web interface of Gmail, this folder will be created with the name “INBOX” instead of “Inbox” which could separate the folders again in Outlook after a restart. In that case, you’ll have to rename the “INBOX” part of the label to “Inbox” in the Gmail web interface and restart Outlook.
Final thoughts
How useful is this change? Well, if you are also often using the web interface of Gmail and are a heavy user of Labels, I’d say it is not very useful at all. After all, instead of having the [Gmail] folder structure in Outlook, you’d then have it in the web interface. Combine that with the amount of work it is to set it up and the 40 character limit of Labels (including the characters of parent folders!), it’s probably not worth the trouble.
However, if you mainly use Outlook (or any another mail client for that matter), sort your mail into subfolders and don’t really care about the Gmail web interface and its Labels, setting a root folder would make sense. The result would be a flatter and more consistent folder structure in Outlook.
